DUTIES AND RESPONSIBILITIES

Seeking New Project Opportunities:

  • Review new job solicitations on appropriate websites. Track and communicate opportunities to Project Managers

New Take-offs (quantity survey to compare with estimate)

  • Specification Review
  • Order Construction Set/Latest Revisions
  • RFIs
  • Confirm details for constructability and sequence
  • Order material that requires significant lead time

Template set-up:

  • Track material quantities
  • Job Information Sheet
  • Change order template
  • Standard Notifications
  • Weather/Pre-hang
  • Scaffold Releases
  • Tub/Tile Protection
  • Finished Walls
  • Exterior Finishes
  • Fireproofing prior to Roof Completion
  • Product Application contrary to Manufacturer’s Recommendations
  • Door delivery prior to framing

Materials for the project:

  • Review Material Summary for Submittal/Spec Conformance
  • Check warehouse to see if we have anything on the list.
  • Review vendor pricing for final vendor selection.
  • Verify Supplier Info
  • Verify Ship-to Address
  • Verify Shipping Date, Site Location and means of Shipping
  • Verify Cost Codes, Material and Stocking Fee
  • Verify Job information (Foreman, Mobile Phone Numbers, Site Access Maps and Hours, Stocking Details, etc.)
  • Verify Product Information and Nomenclature
  • Copy Foreman and Accounting on correspondence
  • Follow-up phone call and confirm Stock and Delivery
  • Resolve credit inquiries
  • Provide Foremen with vendor information and PO numbers
  • Verify with Foreman that order is complete and satisfactory upon delivery
  • Follow-up on any backorders or other issues

Administrative Support of Project Execution

  • Assist in any necessary tracking of project schedule and change orders
  • Create required submittals for client
  • Execute punch lists
  • Process required security clearances
  • Assist in the event our field should have questions about scope within client contracts
  • Receive information from field foreman or Project Manager and translate it into an RFI to client
  • Submit RFI to client
  • Receive and send RFIs & ASIs and file and log in job folder

  • Meeting Logs

Change Order Requests and Quotes

  • Price Change Requests

ICBI Meetings

  • Assist in communicating the status of projects internally and to clients

Job Close-out

  • Analysis
  • Audit Extra Tags (make sure all have been processed/accounted for)
  • Verify with P.O. log any outstanding invoices
  • Complete warranties
